Freelance Grant Writer-Manager

The Inc. Village of Port Jefferson Village is seeking a freelance grant writer-manager to secure and manage external funding to support Village projects and initiatives. The grant writer-manager will work closely with Village executive staff to develop responsive grant proposals that align with Village goals and objectives and is responsible for the entire life cycle of the grant process. This requires excellent research and writing skills, a strong understanding of the grant processes from a municipal perspective, and the ability to effectively communicate and collaborate with diverse stakeholders. By effectively researching, developing, and managing grants, this role contributes to the overall success and sustainability of Village programs, services, and community development efforts.

Responsibilities

Grant Research and Identification
● Identify relevant grant opportunities at the federal, state, and regional level that align with and support Village goals and objectives.
● Stay updated on grant programs, funding trends, and eligibility criteria that are applicable to Village projects and initiatives.
● Collaborate with Village executive staff to identify funding needs and prioritize grant opportunities.

Grant Proposal Development
● Develop high-quality, compliant grant proposals, including clear project descriptions, budgets, timelines, and evaluation plans.
● Collaborate with Village executive staff and Board of Trustees to gather information, data, and supporting documentation required for grant applications.

Grant Application and Submission
● Prepare and submit grant applications within specified deadlines, ensuring all required documents and forms are complete and accurate.
● Maintain organized records of grant applications, correspondence, and reporting requirements.

Grant Management and Reporting
● Monitor and track the progress of awarded grants, ensuring compliance with grant terms, conditions, and reporting requirements.
● Collaborate with relevant village departments to collect and compile data for grant reporting and evaluation purposes.
● Prepare and submit regular progress reports and grant-related documentation to funding agencies.

Grant Communication and Relationship Building
● Establish and maintain effective relationships with funding agencies, program officers, and other stakeholders involved in the grant process.
● Communicate and collaborate with village departments, community organizations, and stakeholders to gather input, seek support, and ensure alignment of grant proposals with village priorities.

Qualifications

● Bachelor’s degree in a relevant field (e.g., public administration, communications, business administration) or equivalent experience. Advanced degrees or certifications in grant writing or related fields are a plus.
● Proven experience in grant writing and management, preferably within a municipal, nonprofit, or governmental organization.
● Excellent research, writing, and editing skills, with attention to detail and the ability to convey complex information in a clear and concise manner.
● Ability to analyze and interpret data, budgets, and project plans to develop comprehensive grant proposals.
● Proficient in using grant management software, databases, and other relevant tools.
● Strong organizational and project management skills, with the ability to manage multiple deadlines and priorities.
● Excellent communication and interpersonal skills, with the ability to build collaborative relationships with diverse stakeholders.
● Knowledge of local government operations, community development, and project management concepts.
● Demonstrated commitment to accuracy, professionalism, and ethical conduct.
